Operations Specialist Sweden
Do work that matters. At Flovi, you won’t just do a job – you’ll shape how we work, grow with supportive people, and make a real impact in a fast-growing, tech-driven company across Europe.
About the Role
As Operations Specialist for Sweden, based in Stockholm, you will run Flovi's daily transport execution in the market – assigning relocations to drivers, solving problems as they happen on the road, and making sure every car reaches its destination on time and in the condition it left.
You will report to the Operations Manager for Sweden.
This is a hands-on role at the centre of the operation. You will be the person drivers turn to when something goes wrong mid-drive, the one who gets a stuck order moving, and the one who owns a damage or incident case from the first report through to resolution. You will also help grow the Swedish driver pool, working alongside driver recruitment to get new drivers activated and taking their first gigs.
Alongside the day-to-day, the role carries real development responsibility. Flovi's Swedish operation is being rebuilt on automation – an AI-driven driver chat, standardised workflows, and reporting that runs itself – and you will help shape and maintain it. We are looking for someone who is comfortable with AI tools and would rather improve a process than repeat it fifty times.
What You'll Be Doing
Run daily execution: Assign gigs to drivers, monitor drives in progress, and handle delays, no-shows, and problems en route decisively.
Support the drivers: Answer driver questions on compensation, process, and practicalities through chat and the ops escalation channels, and make sure nobody is left waiting for an answer.
Own cases end to end: Coordinate incident and damage cases from initial report to resolution, collect the necessary documentation, and work with relevant stakeholders to ensure timely and fair outcomes.
Grow the driver pool: Work with driver recruitment to activate new drivers and get them through their first drives, against clear monthly targets.
Serve new customers well: Work with sales to make sure new customers' first orders are delivered fast and without friction, since that is where accounts are won or lost.
Build the operation, not just run it: Map and improve how Swedish ops processes work, maintain the workflows and help content behind our automated driver chat, and use AI tools to take manual steps out of reporting and case handling.
Drive operational efficiency: Monitor operational KPIs, identify cost drivers, improve driver utilisation, and continuously find ways to make relocations more efficient without compromising service quality.
Own operational customer communication: Keep customers proactively informed about delays, changes, and exceptions. Resolve operational issues quickly to maintain trust and ensure a great customer experience.
Improve our technology: Collaborate with Product and Tech teams to identify operational bottlenecks, test new features, provide structured feedback, and develop scalable, AI-supported workflows.
Your Impact
In your first months, you will take ownership of daily execution – drives assigned on time, problems resolved before customers notice them, and drivers who feel supported.
Within the first year, you will have made the operation measurably more reliable, cut the manual work out of your own week through better processes and automation, and contributed directly to a larger and more active Swedish driver pool. Your work shows up immediately in service quality and driver experience.
Your success will be measured through reliable and on-time deliveries, fast resolution of operational issues, driver activation and satisfaction, customer experience, and increased operational efficiency.
What We Need From You
You are practical, calm under pressure, and the kind of person who notices when something could be done better and then does something about it.
You bring:
Experience in operations, logistics, dispatch, coordination, or customer-facing service work.
Strong problem-solving instincts and the ability to make good decisions quickly when a drive is going wrong.
Comfort with data, dashboards, and operational metrics.
Good working command of AI tools, and a genuine interest in automating repetitive work.
Clear, confident communication with drivers, customers, and internal teams.
Reliable follow-through and sound prioritisation when several things need attention at once.
A strong ownership mentality – you take responsibility for outcomes, not just assigned tasks.
A continuous improvement mindset, with the ability to identify operational bottlenecks and turn solutions into scalable processes.
Fluent Swedish and professional English.
Eligibility to work in Sweden.
